OFFICE MANAGER

Full time / Hybrid (London) / £32,000-£35,000 per year.

The London office of Verso Books, the leading independent radical publisher, is looking for an Office Manager to handle the smooth running of our busy London work place. Responsibilities include dealing with basic HR and Health and Safety processes, managing the infrastructure of the office, maintaining records, and managing our IT requirements.

DUTIES AND RESPONSIBILITIES

- Managing all building utilities including cleaning, waste management, refreshments, etc.
- Maintaining office presentation.
- Maintaining health and safety processes, including fire safety.
- Managing general HR processes, including leave records, onboarding and offboarding, payroll, staff routines, recruitment processes.
- Ensuring the security of the office, managing keys and alarm.
- General administrative support, including filing, record keeping, petty cash, stationery, supplies.
- Mail and courier management (​​receiving and allocating postal and courier deliveries; keeping track of postal requirements and regulations, and updating the office on new procedures; despatching books to authors or sales representatives).
- Answering the phone and general enquiry emails, taking messages, and checking voicemail
- Filing and updating sensitive and confidential company records and documents.
- Managing IT requirements, including hardware and software, liaising with tech support.
- Managing staff resource requirements, from furniture to office socials.
- Maintaining insurance and legal documentation.
- Ensuring adherence to data protection rules.
- Providing general support to visitors.

    PERSON SPECIFICATION

    - At least 2-3 years experience in a similar role.
    - Knowledge of MS Office and Google Work Space.
    - Excellent time management skills with an ability to multi task and prioritise across a range of tasks.
    - Attention to detail and problem solving.
    - Excellent written and verbal communication skills.
    - Strong organisational and planning skills.
    - Positive and solutions oriented.
    - Proactive, efficient and initiative taking.
    - Able to maintain the highest level of confidentiality, diplomacy, and professionalism.
